Rotation Window

The Rotation window is the main window from which the operator controls the rotation.

Dancers are added to the rotation from the Dancer Table via the 'Add Dancers to Rotation' button. Dancers can be removed from the rotation by highlighting their name(s) and then pressing the Delete button.

The operator can change the status (Must Dance, Ready, Sitout, or Absent) and other attriutes of individual dancers. Tips can be generated then displayed, as well as many other administrator functions.

The display is configurable. The two primary displays are shown below:

Standard Display - Grouped by Couple

The Standard Display shows one dancer per grid row. The grid row contains several data columns for the dancer. Dancers can be grouped by couples, as shown below.

Condensed Display

The Condensed Display shows one dancer per grid cell. Each grid cell indicates the dancer's name, role, status, and desired partner. The number of columns is configurable.

Press the Add Dancers to Rotation button to add dancers to the rotation. See Add Dancers to Rotation.

After dancers are added to the rotation, a tip can be generated. Press the Generate Next Tip button, or use the hot-key (usually Ctrl+G) to generate a rotation (see Preferences - Global to set andenable the hot-key).

During open tips or a meal break, a message may be displayed on the computer screen. Press the Open Tip button to select and display an appropriate message. Several a message from the available drop-down list or create your own.

To un-do the last generated tip, click the Undo Last Tip button.

Toolbar:

Common tasks are available via the Toolbar. These same tasks are also available via the menus and popup menus.

  • Add Dancers to Rotation - opens the Add Dancers to Rotation window from which dancers can be added to the rotation.
     
  • Generate Next Tip - generates, then displays the next tip. See Tip Display.
     
  • Open Tip - prompts for a caption, then opens the Open Tip window.
     
  • Undo Last Tip - after confirmation prompt, undoes the last tip. Dancer statuses are set to what they were prior to the generation on the undone tip.
     
  • Ready - sets the status of the selected dancer(s) to "Ready".
     
  • Sitout - sets the status of the selected dancer(s) to "Sitout".
     
  • Absent - sets the status of the selected dancer(s) to "Absent".
     
  • Must Dance - sets the status of the selected dancer(s) to "Must Dance".
     
  • Split Couple - after a confirmation prompt, splits the couple to which the selected dancer belongs into two single dancers.
     
  • Join Two Dancers - opens the Join Two Dancers dialog box to select a partner for the selected dancer.
     
  • Dancer Info - opens the Dancer Info dialog box on the selected dancer(s).
     
  • Edit dancer this Rotation - opens the Edit Dancer this Rotation to edit the selected dancer.
     
  • Preferences this Rotation - opens the Preferences - this Rotation dialog box.
     
  • Standard Display - when selected (blue border), the Standard Display is shown.
     
  • Condensed Display - when selected (blue border), the Condensed Display is shown.

File Menu:

  • New rotation - opens the Preferences - this Rotation window to create a new rotation. At a minimum, the operator should give the rotation a Description. Pressing the Save button creates the rotation, and makes it the current rotation.
     
  • Open existing rotation - opens the Open Database dialog box to allow a database to be selected and opened. The dialog box also allows for database functions such as rename, copy, delete and more.
     
  • Delete current rotation - after confirmation, deletes the current rotation.
     
  • Dancer Table - opens the Dancer Table window.
     
  • Barcodes - opens the Barcodes window to print barcodes. Dancers may manipulate their status in the rotation by use of barcodes. A barcode scanner must be connected to the rotation computer.
     
  • Preferences - this Rotation - opens the Preferences - this Rotation dialog box.
     
  • Preferences - Global - opens the Preferences - Global window to change preferences that affect all rotations in the database.
     
  • Remote Access - opens this submenu:

    When Remote Access is on, data from the rotation program is uploaded to www.ceder.net. Dancers may use a mobile device to check their square number, or request a status change such as Absent, Sitout, or Ready.

    • On - turns on remote access, no password required.
    • On, with Password - turns on remote access, and prompts for a required password. Anyone trying to access this rotation will need to enter the password.
    • Off - turns off remote access.
    • Show Web Access Code - makes the remote access QR code visible.
    • Hide Web Acesss Code - hides the remote access QR code.
    • Web App - this Rotation - opens a browser window to the Select Dancer page of the Web App for the current rotation.
    • https://www.ceder.net/rotation - opens a browser window to https://www.ceder.net/rotation/, the root page of the Web App.
    • Reset Web Rotation ID - gives the rotation a new web rotation ID and uploads the rotation to www.ceder.net. I'm not sure if this option is still necessary. It probably was used to fix or debug and issue with the Web App.
    • Help - Remote Access - opens the Remote Access help page.

      • Scanner - opens this submenu:

        When Scanner is on, the program assumes that a barcode scanner has been connected to the computer, and listens for barcode scans.

        • On - turns on the scanner.
        • Off - turns off the scanner.
        • Debugger On - turns on scanner debugging. When on, raw data received from the scanner is output to a Scanner - Last Scan window.
        • Debugger Off - turns off scanner debugging.
        • Terminator Code - sets the barcode scan terminator character. If the barcode scanner is not working, the most probable reason is that the terminator code is not properly set. Values are: Control+J or Carriage Return.
        • Emulator - opens the Scanner Emulator window, to test how a barcode scanner should work with the rotation program.
        • Help - Scanner - opens the Scanner help page.
        • Help - Last Scan window - opens the Scanner - Last Scan window help page.
        • How to use the Scanner - for Dancers - opens the How to Use the Scanner - for Dancers help page.
         
      • 1..N  xyz - opens the selected rotation. This is a list of the most recently opened rotations.
         
      • Close - closes this window, and returns to the Main Window.
         

      Edit Menu:

      • Add Dancers to Rotation - opens the Add Dancers to Rotation window from which dancers can be added to the rotation.
         
      • Import dancers from another rotation - prompts for a source rotation, then imports all dancers from that rotation into the current rotation.
         
      • Add dancer by Global ID - prompts for a Global ID, then adds that dancer to the rotation. This was an AACE administrator function, and should not be used unless you know the Global ID of the dancer you wish to add.
         
      • Add dancers by list of Global IDs - a shortcut for entering the Global IDs of several dancers to add to the rotation. Prompts for a comma-separated list of Global IDs, then adds those dancers to the rotation.
         
      • Dancer Info - opens the Dancer Info dialog box on the selected dancer(s).
         
      • Edit dancer - in this Rotation - opens the Edit Dancer this Rotation to edit the selected dancer.
         
      • Edit dancer - in Dancer Table - opens the Dancer Table - Edit windows to edit the selected dancer.
         
      • Remove from rotation - after confirmation, removes the selected dancer(s) from the rotation. If selected dancers have danced a tip, their status will be set to 'Absent And Hidden', which effectively removes them from the rotation grids and the statistics windows.
         
      • Remove dancers who have always been absent - removes all dancers from the rotation who have always been absent.
         
      • Quick Update - opens the Quick Update window.
         

      Status Menu:

      • Ready, Sitout, Absent, Must Dance - sets the status of the selected dancer(s).
         
      • Any, Boy, Girl - sets the role of the selected dancer(s).
         
      • Normal, Angel, Student - sets the category of the selected dancer(s).
         
      • Not Paid, Paid - sets the paid flag of the selected dancer(s).
         
      • OK w/Single, Not OK w/Single - sets the OK w/Single flag of the selected dancer(s).
         
      • Star tip A, Star tip B - sets the Star tip A (or Star tip B) flag for the selected dancer(s). Yes means they dance the star tip, No means they do not.
         
      • Set All to Ready - sets the status of all dancers to "Ready".
         
      • Set All to Absent - sets the status of all dancers to "Absent".
         
      • Set All to Not Paid - sets the paid flag of all dancers to "Not Paid".
         

      Display Menu:

      • Standard display - when selected, the Standard Display is shown.
        • Choose Fields to Display - lists most of the fields avaiable for display. A checkbox to the left of the field indicates it is visible in the grid.
        • Default Fields - resets order and visibility of grid fields to their default.
        • All Fields - makes all grid fields visible, even those that are normally hidden.
        • Minimal Fields - only makes the following fields visible: Name, Role, Status, Preferred Role, and Partner.
        • Best Fit - All Columns - optimizes the field widths of grid columns for a better display.
        • Font Size - changes the font size for the grid.
        • Customize Grid - opens the Customize Grid dialog box.
         
      • Condensed display - when selected, the Condensed Display is shown.
        • Font Size - changes the font size for the grid.
        • Number of Columns - changes the number of columns in the grid.
        • Show partner names - toggles whether the desired partner name is shown.
        • Partner name font size - changes the font size for the desired partner name.
        • Partner name color - changes the color of the desired partner name.
         
      • Show toolbar - determines whether the toolbar is visible. Unchecking Show toolbar hides the toolbar and allows the display grids to be larger.
         

      Tip Menu:

      • View Current Tip - opens the Tip Display window on the last generated tip.
         
      • Generate Next Tip - generates, then displays the next tip. See Tip Display.
         
      • Open Tip - prompts for a caption, then opens the Open Tip window.
         
      • Undo Last Tip - after confirmation prompt, undoes the last tip. Dancer statuses are set to what they were prior to the generation on the undone tip.
         
      • Undo All Tips - after two confirmation prompts, undoes all tips. All dancers may optionally be set to "Absent".
         
      • Generate 'Star tip A' Tip - generates Star Tip A.
         
      • Generate 'Star tip B' Tip - generates Star tip B.
         
      • Delete a Tip - prompts for a tip number, prompts for confimation, then deletes the tip, renumbering any subsequent tips.
         
      • Delete a Square from a Tip - opens the Delete A Square From A Tip dialog box.
         
      • Add a Square to a Tip - prompts for a tip number, then opens the Add a Square to a Tip dialog box.
         

      Statistics Menu:

      Tools Menu:

      • Split All Couples into Singles - after a confirmation prompt, splits all couples into singles. Everyone is now a single dancer.
         
      • Join All Singles with Desired Partners - after a confirmation prompt, joins all singles with their desired partners.
         
      • Print Barcode for selected dancer(s) - opens one window for each selected dancer, to print that dancer's barcode. The intended use for this function is to send an individual barcode to a barcode printer. If, instead, you wish to print a page of barcodes for selected dancers see Barcodes, in particular the 'Multiple Barcodes' tab and the 'Selected Dancers from Dancer Table' button.
         
      • Set All Couple Names to their default - after a confirmation prompt, sets all couple names to their default (e.g., Fred + Marge). The Couple name delimiter (+, &, and) can be changed via Preferences - Global.
         
      • Optimize Names - after a confirmation prompt which explains how names will be modified, this function does the following:
        • Removes last names from dancers and couples.
        • Dancers having the same first name will have new name that consists of the first letter of their last name appended onto their first name. (e.g. "Bob Johnson" becomes "Bob J")
        • If an optimized name would create an ambiguity, the name is not modified at all.
        Names are retrieved from the Dancer Table, not from the current rotation.
        The reason for optimizing names is to make the Tip Display window more readable.
         
      • Un-Optimize Names - after a confirmation prompt, resets the full names of dancers and couples. This is the Undo function for 'Optimize Names'.

      Help Menu:
