Dancer Table - Edit

The Dancer Table - Edit window edits a dancer within the Dancer Table.

An asterisk (*) on the Title Bar following the dancer's name indicates that the record data has been modified, but has not yet been saved.

There are 4 tabs:
  1. Name - this is generally the only tab required. This tab specifies the dancer's name, role, preferred role, partner, couple name when paired with partner, OK w/single, vaccinated, flags, category, tag, and attributes.
  2. Contact Info - specifies data such as address, phone number, email, etc. This data not used by the program, but may be desirable to the program's operator.
  3. Notes - any additional notes or comments.
  4. Preferences - allows for special dancer requests, such as preferred partners, partners to avoid, preferred dancers to square up with, and dancers to avoid squaring up with. This option should be used sparingly, as it can greatly affect the mixing of dancers.

Name tab

First Name, and Last Name
  • The dancer's first name and last name.

Role
  • The dancer's role: Boy, Girl, or Any (bi-dansual).
  • Any means the dancer is willing to dance as either a Boy or a Girl.

Preferred Role
  • The dancer's preferred role: Boy, Girl, or Any.
  • If the dancer is dancing as (or with) a single and the dancer's role is Any, the dancer's preferred role will be used if possible.

Partner
  • The dancer's partner.
  • To assign a partner to a dancer, both dancers must be in the Dancer Table and the desired partner not assigned to another dancer.

  • The name of the partner may be displayed as either First Name Last Name, or as Last Name, First Name. The button to the immediate right of the Partner box toggles between the two display choices.
  • To clear the Partner name, click the eraser button to the right of the Partner box.
  • To make changes to the dancer's Partner data within the Dancer Table, click the pencil icon to the right of the Partner box. Note, the program will prompt the user to save any edits to the current dancer before editing the Partner information.

Couple Name
  • The name of the couple when the dancer is dancing with their desired partner.
  • The Couple Name box populates automatically when a Partner is chosen.

  • To switch the order of the names shown within the Couple Name field, click the button to the immediate right of the Couple Name box.
  • To clear the Couple Name box, click the eraser icon to the right of the Couple Name box.
  • If the Couple Name box is empty, the user can repopulate it with the default couple name by clicking the DEF button.

OK w/Single
  • When checked, dancer is willing to dance as necessary with a single dancer.

Vaccinated
  • When checked, dancer has shown proof of Covid-19 vaccination.

Flags
  • Flags assigned to the dancer.
  • Flags are usually used by the operator to assist in locating a particular dancer in the Dancer Table.
  • Flags are useful to help identify similar dancers within the Dancer Table. Flags can indicate a dancer's dance level, the groups to which the dancer belongs, and other attributes.
  • Flags are created and edited via the Flag Table window.

Single Name
  • Dancer's name to display when dancing as a Single.

Short Name
  • Short Name is displayed to save space on the Tip Display window when there are many squares to display.
  • The default format is the first three letters of the Last Name followed by a comma and the first letter of the First Name.
  • For example, the default short name of John Henderson is HEN,J.

Category
  • The dancer's category.
  • In most cases, category should be set to 'Normal'.
  • 'Student' indicates the dancer is in the class.
  • 'Angel' indicates the dancer is helping out.
  • Rotation Preferences allow
    • students to dance every tip;
    • even distribution of students amongst squares;
    • angels to dance only if needed;
    • even distribute of angels amongst squares.

Tag
  • A tag is a short comment.
  • A tag is similar in function to a flag, but can be unique to each dancer.
  • The Tag field is most often used as the upper level that the dancer can dance.

Attributes
  • Attributes, if any, of the dancer.

  • Always in Square N - indicates the dancer will always be placed in square N. Only one dancer in the rotation may have this attribute. It is intended for a dancer such as the rotation computer operator who always needs to be by the computer, or perhaps for a dancer hard of hearing who always needs to be in the square closest the speaker. The value of N is set via Preferences - this Rotation.
  • In N, Out M - means the dancer will be in (Ready to dance) for N tips in a row, then out (Absent) for M tips in a row. The program is smart enough to know that after a long break (e.g. a dinner break) to reset the dancer's' "In" counter to zero.

Saves change made, and closes this dialog box.

Closes this dialog box, without saving changes.

If the window is closed with the 'X' in the window's upper right-hand corner, and the data has not been saved, a prompt appears asking whether or not to save the data.

Contact Info tab

  • The fields on the Contact Info tab are mostly self-explanatory.
     
  • - attempts to call the associated phone number.
     
  • - opens an email client with the associated email address.
     
  • - after a confirmation prompt, replaces contact info with the info from the dancer's partner.

Notes tab

  • The Notes tab allows the Notes field to be edited.
  • A text note of any length may be placed into this field.
     

Preferences tab

  • The Preferences tab allows for special dancer requests, such as preferred partners, partners to avoid, preferred dancers to square up with, and dancers to avoid squaring up with.
     
  • These preferences should be used sparingly, as it can greatly affect the mixing of dancers.
     
  • The 'Add' button adds a dancer to the corresponding list.
     
  • The 'Remove' button adds a dancer to the corresponding list.
     
  • The lists are ordered by priority. That is, the top name in the list is most important.
     
  • Use the move buttons to change the order of dancers in a list.
     
  • Note that the Prefer Dancers option has not yet been implemented.
